Job Description: 

As the AP/AR Clerk at Connect Transit you will be responsible for the processing of accounts payable and accounts receivable, and maintenance of related files ensuring accurate records for our Finance Department.

 

Wages: 

  • $20.67 - $22.36 an hour, dependent on qualifications

Responsibilities and Duties:

  • Processes invoices/purchase orders for payment, ensuring proper coding, invoice/purchase order numbers and dollar amount in a timely manner; resolves invoice/purchase order discrepancies and/or obtains missing documents.
  • Reviews vendor statements for payment status, reconciles any differences, and researches unpaid invoices or discrepancies.
  • Creates and maintains vendor files by acquiring appropriate documentation in accordance with Connect Transit policies; maintains vendor files in accounting software.
  • Monitors and maintains AP mailbox; researches answer and responds when needed in a timely and professional manner.
  • Verifies AP and AR reports for accuracy, troubleshoots errors and works with appropriate staff and vendors to make corrections or reconciliations when needed.
  • Enters and verifies vendor payment information.
  • Prepares vendor checks for mailing.
  • Creates and mails customer invoices for accounts receivable.
  • Processes customer payments in accounting software.
  • Responds to AR invoice and payment inquiries.
  • Prepares AR aging reports for management review and follows up on outstanding payments.
  • Maintains filing of accounts payable and accounts receivable documents in accordance with records retention policy and Connect Transit procedures.
  • Assists with annual financial audit document collection.
  • Assists with yearly tax form mailings.
  • Other duties as assigned.

 

Job Requirements:

  • High school diploma or equivalent
    • Preferred: two years of AP/AR experience
  • Pass federal background check and pre-employment drug test
  • Ability to:
    • Work with confidential information while maintaining confidentiality at all times.
    • Pay close attention to detail and complete tasks accurately.
    • Maintain organizational skills and detailed follow through.
    • Manage multiple deadlines with ease.
    • Understand and utilize basic math functions.
    • Take and maintain detailed notes about processes and procedures.
    • Take verbal and written direction.
    • Work independently and accurately with minimal supervision.
    • Work in an open office environment.
    • Use Microsoft Office Suite efficiently.
    • Learn multiple software platforms for daily workflow.
    • Communicate effectively orally and in writing.
    • Interact professionally with various levels of Connect Transit employees and outside representatives.
    • Easily establish relationships with employees and outside partners.
    • Use general office equipment.
    • Meet the physical demands required of this position.
